The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers and contact details of Colleagues (Service Users) and Facilitators (Volunteers). The personal information we collect might include your name, address, email address.
  • Special Category Data- (Health) Processed in compliance with Articles 6 (Lawful Basis-Legitimate Interest) and 9(Condition ‘d’ -Not for profit) of the UK GDPR.
  • Photographs with signed consent for evidence of service delivery/marketing/promotion purposes only. 
  • Financial information necessary to process payments to and from our organisation. 
  • CCTV images and recordings.
  • DBS (Disclosure and Debarring Service) – reference number only recorded.

 

How we get the personal information and why we have it

We are committed to protecting your privacy and will use your personal information in accordance with the General Data Protection Regulations (GDPR).

  • Health Professionals who have referred you into our service for further support. 
  • Mental Health Professionals who have referred you into our service for further support.
  • Other organisations who have referred you into our service for further support.

 

We use the information that you have given us in order to.

  • allow us to administer our services to you.
  • notify you of changes to our services.
  • send you communications which you have requested and consented to receiving. These may include information about campaigns, appeals, other fundraising activities, promotions of our associated companies’ goods and services.
  • respond to an enquiry you have sent to us through the website.

  • process a donation that you have made.
  • process orders that you have submitted.
  • process a grant or job application.

How we store your personal information 

Your information is securely stored. 

We keep:  

  • Digital Personal Identifiers in password protected emails and computers for 5 years after our last correspondence. We will then dispose your information by deleting all saved files and emails, including those that may appear in the recycling folder.

 

  • Paper Personal Identifiers in lockable cabinets behind lockable doors for 5 years after our last correspondence. We then dispose of your information by shredding all paper documents.

 

  • Special Category Data for 7 years following our last correspondence. We will then dispose of your information by shredding any paper files, deleting all saved files and emails, including those that may appear in the recycling folder. 

 

  • Photographic Images and Videos stored on cameras and computers will be deleted after a period of 5 years. 

 

  • Photographic Images and Videos on cameras and computers used for promotion purposes and on social media may exist indefinitely. 

 

  • CCTV images and videos will be deleted after 30 days.
